SmartAuger Books Privacy Policy
SmartAuger Books ("Books") is an internal business application operated by SmartAuger, Inc. ("SmartAuger", "we"). It is used by SmartAuger personnel to work with SmartAuger's own accounting records. It is not offered to the public and has no outside customers. This policy explains what information Books handles and what we do with it.
Who uses Books
Only people SmartAuger has authorized, such as employees and contractors who need it for their work. Each user can see only the business units and functions they have been given access to.
Information Books handles
- Accounting data from QuickBooks Online. Books connects to SmartAuger's own QuickBooks Online company through Intuit's API. It reads invoices, bills, purchase orders, payments, customers, vendors, products and services, classes, company settings and financial reports. This data can include the names, addresses, email addresses and phone numbers of SmartAuger's customers and vendors, and amounts owed and paid.
- Records created in Books. Budgets, the rules that match vendors to budget lines, user permissions, and a log of actions taken in the application.
- User account information. The name, work email address and permissions of each authorized user.
- Connection credentials. The access tokens Intuit issues so Books can reach the QuickBooks company. These are stored encrypted and are never shown to users.
Books does not collect payment card numbers or bank account credentials. It does not use cookies for advertising or analytics and contains no third-party tracking.
How the information is used
Only to run SmartAuger's own finance and operations work: viewing and reporting on the books, preparing and tracking budgets, and, where enabled, creating or updating accounting records in SmartAuger's QuickBooks company at a user's instruction.
Sharing
We do not sell this information and do not share it for anyone else's marketing. It is exchanged with Intuit as needed to read from and write to SmartAuger's QuickBooks company, and it may be processed by service providers that host or secure SmartAuger's systems under SmartAuger's control. We may disclose information when the law requires it.
Storage and security
Books keeps a copy of the QuickBooks data it reads in a database controlled by SmartAuger. Access is limited by per-user permissions that are checked on the server for every request. Connection tokens are encrypted at rest. Actions that change records are logged with the user who took them.
Retention and deletion
The copy of QuickBooks data in Books is refreshed from QuickBooks and is removed when Books is disconnected from the QuickBooks company. Disconnecting also revokes Books' access with Intuit. Budgets and the action log are kept for as long as SmartAuger needs them for business and record-keeping purposes. The accounting records themselves remain in QuickBooks Online and are governed by Intuit's terms and privacy statement.
Your choices
If you are a customer, vendor or other contact of SmartAuger and want to know what information we hold about you in our accounting records, or want it corrected, contact us at the address below. Authorized users can ask their SmartAuger administrator about their account and permissions.
Changes
If this policy changes, the new version will be posted at this address with a new effective date.
